The following list provides a brief overview of prominent policy. Additional details may apply.
Eligilbilty and Fee Structure
Rec Sports rents to private and public groups. Priority access and progressive price structure is afforded to Rec Sports programs, OSU student organizations and OSU affiliates, respectively.
A three-week minimum advanced notice is required for all rental requests. Submitting a Event Rental Request does not automatically guarantee space. Approval of rental requests is dependent on scope and nature of the event, reasonable advanced notice, impact on existing programs and priority eligibility.
Risk Management and Liability
A certificate of insurance is required from any non-student fee funded Affiliated Student Organization (ASO) or non-OSU group.
Acknowledgment of risk and waiver of liability is required for high-risk activities and when minors are involved.
Your organization will be responsible for any loss or damages to Rec Sports facilities, furnishings or equipment during your event.
Rec Sports administration reserves the right to cancel, interrupt, or terminate any event in the interest of public safety, noncompliance with university policies or if the event can be viewed as inappropriate or not consistent with the mission of the Student Union.
Sound Permits
A sound permit is required for any event that occurs on the OSU campus and will use amplified sound (more than laptop speakers with 25 watts). Permits are granted for no more than two consecutive hours. Applications must be submitted at least 14 days prior to the event.
Food
As a condition of contract between Pepsi and Oregon State University, vendors are not allowed to serve Coke products on campus.
Alcohol Permits
Alcohol service at all University events/activities and University properties is governed by University Standard 07-005 Alcoholic Beverages and MUST be registered with OSU Risk Management 21 days prior to your event.

Cancelations and Altered Contracts
Contracts that are altered by the user after signature shall be charged a rescheduling fee of 10% of the total contract value, as delineated in the text of the contract.
Contracts that are canceled by the user within seven calendar days of service delivery shall be charged a cancelation fee of 25% of the total contract value, as delineated in the text of the contract.
Access to Space
You will be allowed access to the space you reserved only during the times your indicated in your request, i.e. during the Pre-Event, Event and "Post-Event" times.
Decorations and Signs
All decorations must be approved by and coordinated with express permission from Rec Sports.
Media and Photography
Personal use photography and videography is permitted in Rec Sports facilities with the exception of locker rooms and restrooms, where all photography and videography is strictly prohibited. Prior approval for media photography and videography access is required when shooting for class projects, newspapers, articles, and other media.
Storage
No storage is available in the building for materials your event requires.
Shoes
Shoes that leave black or scuff marks are not permitted on court floors. For safety and sanitation, closed-toed athletic shoes must be worn during sporting activity.
Video Surveillance
The Recreation Center has a video surveillance system that is reviewable by recreation staff, campus security and Oregon State Police. The video surveillance system is used to review possible thefts, policy violations and entry violations.
